Meeting Summary: November 18, 2005

ValueOptions (BHP Administrative Service Organization) invited Subcommittee members to the Hamden office to review and recommend edits to the BHP program web-based service registration form for adults and children enrolled in HUSKY A/B (click on icons below to view form and some of the “drop-down” lists).
General discussion points:
• At initial login, provider information will be linked to the system to reduce redundancy in future entries.
• Under requests for services, only the level of care being requested will “drop-down”. After registration, 26 outpatient sessions will be approved for the first year. Question for VOI to determine: are the 26 sessions connected to the client or the provider, as there may be several providers treating patient.
• DOS (Pg 1): Is this the date of the clinical intake or start of treatment?
• While the form design is user-friendly, help will be available by phone & on-line. VOI will consider other training as needed/idnetified.
• Client ID can be name, SS# or EMS Medicaid ID. A “Medicaid number” will be assigned HUSKY B members even though this is not a Medicaid program. The member's Connect card, when swiped, will show the member's MCO. Question: will providers need to use AEVS to ascertain member's program eligibility status?
Form item discussion points:
• The race/ethnicity drop down is based on the DSS EMS categories: when EMS converts to the new federal list, this will be added to the form; will require a separate race and ethnicity list.
• The 5 DSM IV axis must be completed on the form: there will be a drop down list for Axis 3 medical co-morbidities.
• Referral type needs urgent (24 hours)/routine option: Define at the 12/9 meeting
• Page 2: 3 points raised:
o Want to know family members/others involved in client's care & who is also receiving treatment – could flag need for ICM.
o Add y/n is child in special education.
o Revise consent questions, add list of collaterals (in 2nd icon above).
• Page 3: suggestion to change medication questions to “currently taking”, add drop down list for co-occurring disorders - if yes, need to document in axis 2 diagnoses.
• Suggested that each screen have a content title – Bob Frank will send this to VOI.
The registration form and items on the dropdown lists were emailed to SC members for comment back to VOI by November 30. VOI will incorporate suggestions, finalizing the form at the next subcommittee meeting.
The QA Subcommittee will meet on Friday December 9 from 1:30 – 4 PM at the Rushford Center in Meriden.
